A binding agreement governing volunteer participation in the Africa Safaris Tanzania-exclusive placement programme across wildlife, conservation, education, health, marine, and community streams.

RECITAL — Africa Safaris operates an exclusive volunteer programme placing international participants with verified Tanzanian conservation, wildlife, education, health, marine, and community organisations. By executing this Agreement, the Volunteer acknowledges they have read, understood, and accept the terms set out herein in full, and confirms they apply solely for placements within the United Republic of Tanzania.

1. Parties & Programme

1.1 Parties

This Volunteer Programme Agreement (the "Agreement") is between:

This programme is geographically limited to placements within the United Republic of Tanzania, including mainland Tanzania, Zanzibar, Pemba, and Mafia. Africa Safaris does not offer or arrange volunteer placements in any other country, and no representation to the contrary should be inferred.

2. Application Tiers & Fees

The Volunteer must select one of three (3) tiers based on priority of processing and start date proximity. The Application Fee is payable in full, in advance, via PayPal only, and is non-refundable upon submission.

2.1 What the Application Fee Covers. The Application Fee covers: (a) administrative processing of the Volunteer's application; (b) verification of submitted documents; (c) matching with a suitable placement organisation; (d) pre-departure support proportionate to the Tier; and (e) issuance of an official Africa Safaris volunteer certificate upon successful completion.

⚠ Critical — Application Fee Is Not Programme Cost The Application Fee does NOT include placement costs, accommodation, food, transportation within Tanzania, visa fees, vaccinations, insurance, programme-organisation fees, park entrance charges, or any other operational expense. These costs will be agreed separately between the Volunteer and the receiving organisation upon application acceptance under Clause 4.

3.1 Authenticity Warranty. The Volunteer warrants all documents are genuine, current, valid, and unmodified. Africa Safaris reserves the right to independently verify any document, and the Volunteer irrevocably authorises such verification.

3.2 Fraudulent Documents. Submission of false, altered, or fraudulent documents constitutes immediate cause for rejection or termination. The Application Fee will not be refunded, and the Volunteer may be reported to relevant authorities.

4. Acceptance & Subsequent Agreements

Acceptance into the programme is at Africa Safaris's sole discretion. Upon acceptance:

The placement-specific agreement issued upon acceptance covers your participation costs, which vary by placement type, duration, and host organisation. Africa Safaris is transparent about these costs before you commit, but they are governed by a separate document.

5. Volunteer Warranties

The Volunteer represents and warrants that:

  1. The Volunteer is at least eighteen (18) years of age (or twenty-one (21) for placements involving healthcare or unsupervised work with minors);
  2. The Volunteer is physically and mentally fit for the chosen placement, has disclosed any pre-existing condition that may affect participation, and accepts the inherent physical demands of fieldwork in Africa;
  3. The Volunteer has no undisclosed criminal record involving violence, sexual offences, drug trafficking, dishonesty, or any offence involving children or vulnerable adults;
  4. The Volunteer's stated qualifications, references, and experience are accurate;
  5. The Volunteer holds, or will hold before departure, a valid passport with at least 12 months remaining validity, the relevant visa for entry to Tanzania, comprehensive travel and medical insurance, and yellow fever vaccination;
  6. The Volunteer participates freely, voluntarily, and entirely at their own risk;
  7. The Volunteer is not subject to any sanctions or travel restrictions.

6. Volunteer Obligations

The Volunteer shall:

7. Health, Safety & Insurance

7.1 Voluntary Assumption of Risk. The Volunteer acknowledges that fieldwork in Africa involves inherent risks, including but not limited to: tropical illness, malaria, parasites, gastrointestinal illness; wildlife encounters and animal attacks; vehicle accidents on rough terrain; theft, robbery, or assault; civil unrest, terrorism, or political instability; natural disasters and weather extremes; remote-area medical emergencies; and exposure to challenging working conditions. The Volunteer participates with full knowledge of these risks and accepts them voluntarily.

7.2 Insurance Mandatory. The Volunteer must carry, throughout the placement, comprehensive travel and medical insurance with minimum cover of $100,000 USD for medical treatment, evacuation, and repatriation. Africa Safaris does not provide insurance.

7.3 Vaccinations. The Volunteer is solely responsible for obtaining all medically advised and legally required vaccinations.

8. Visa & Immigration

The Volunteer is solely responsible for obtaining the correct visa or volunteer permit for entry into and stay in Tanzania, complying with all immigration requirements, and observing all entry/exit conditions. Africa Safaris may provide a support letter at Express tier level but is not responsible for visa approval.

9. Photography, Media & Likeness

The Volunteer grants Africa Safaris a perpetual, royalty-free, worldwide, sublicensable licence to use the Volunteer's name, photograph, likeness, and any content the Volunteer produces during the placement for promotional, editorial, and operational purposes, unless the Volunteer expressly withdraws consent in writing.

9.1 The Volunteer must not use Africa Safaris's name or brand to solicit funds or for any commercial purpose without prior written consent.

10. Limitation of Liability

⚠ Critical Liability Allocation The Volunteer acknowledges that Africa Safaris is an introduction and matching platform, not the operator of the field placement.

10.1 No Operational Liability. Africa Safaris is not liable for:

10.2 Aggregate Cap. To the maximum extent permitted by law, Africa Safaris's total liability under or in connection with this Agreement shall not exceed the Application Fee actually paid by the Volunteer.

10.3 Exclusion of Indirect Loss. Africa Safaris is not liable for indirect, consequential, special, incidental, or punitive damages of any kind.

10.4 Statutory Carve-Out. Nothing in this Agreement excludes liability for fraud or any liability that cannot lawfully be excluded.

11. Indemnification

The Volunteer shall indemnify and hold harmless Africa Safaris, its officers, directors, employees, agents, and partners from any claim, loss, liability, damage, or expense (including reasonable legal fees) arising from:

⚠ Strict No-Refunds Policy

All payments made to Africa Safaris × SafariAI — including the Application Fee, any placement deposits, programme costs, and any other sums — are final and non-refundable under any circumstances, except as expressly required by applicable mandatory consumer law.

13.1 Application Fee. The Application Fee ($50, $100, or $250) is non-refundable from the moment of payment. This applies whether the Volunteer is accepted, rejected, withdraws, or the application is otherwise terminated.

13.2 Placement Deposits and Programme Costs. All deposits and programme costs paid (directly to Africa Safaris × SafariAI or to host organisations through the platform) are non-refundable, including but not limited to cases of: voluntary withdrawal at any stage, denial of visa, undisclosed health conditions, change of personal circumstances, host-organisation changes, or termination by Africa Safaris × SafariAI under Clause 14.

13.3 Force Majeure. In events of Force Majeure (natural disaster, political instability, public-health emergency, etc.), no refunds are issued. Africa Safaris × SafariAI may, at its sole discretion, offer to reschedule the placement within twelve (12) months, but is under no obligation to do so.

13.4 Discretionary Resolution. Africa Safaris × SafariAI reserves the right, but accepts no obligation, to offer goodwill credits (not cash refunds) toward a future placement in exceptional circumstances determined solely at its discretion.

14. Termination by Africa Safaris

Africa Safaris may terminate this Agreement or the placement immediately if:

Africa Safaris processes Volunteer personal data in accordance with our Privacy Policy and applicable law (Tanzania Personal Data Protection Act 2022, EU GDPR, UK GDPR). The Volunteer's documentation is shared only with the receiving host organisation and is retained for the legally required period after placement.

16. Governing Law & Jurisdiction

This Agreement is governed by, and shall be construed in accordance with, the laws of the United Republic of Tanzania, without regard to conflict-of-law principles, since all placements occur in Tanzania. The Volunteer submits to the exclusive jurisdiction of the courts of Tanzania in respect of any dispute arising from this Agreement.

16.1 Pre-Litigation Negotiation. The Parties shall attempt good-faith negotiation for 30 days before initiating any formal action.

16.2 Mediation. If unresolved, disputes shall first be referred to mediation under the Tanzania Institute of Arbitrators rules.

17. General Provisions

17.1 Entire Agreement. This Agreement, together with the placement-specific agreement issued upon acceptance, constitutes the entire agreement between the Parties.

17.2 Amendments. No amendment is binding unless in writing and signed by both Parties.

17.3 Severability. If any provision is invalid, the remainder continues in force.

17.4 No Employment. Nothing creates any employment, partnership, or agency relationship.

17.5 Notices. To Africa Safaris: contact@africasafaris.app. To Volunteer: the email provided on application.

17.6 Electronic Signature. This Agreement may be signed electronically with the same effect as a wet-ink signature.

Execution & Signatures

BY SIGNING BELOW, the Volunteer confirms they have read, understood, and accept the terms of this Agreement in full, including the assumption of risk in Clause 7 and the limitation of liability in Clause 10.
